Employment - Payroll & Accounting Records Clerk

Job Description:

Reports To:    Associate Director of Finance and Human Resource

Primary Function: Maintain financial records and reports in an acceptable and accountable manner.

Responsibilities:

1.         To ensure individuals bills are paid and deposits made timely.

2.         To monitor meal count sheets and process grocery reimbursements.

3.         To monitor and update food stamp reports.

4.         To distribute personal and staff funds for outings.

5.         To reconcile bank accounts.

6.         To track maintenance requests.

7.         To be the backup for the Human Resource department

8.         To assist with various audits.

9.         Post payroll, related records, make appropriate fund transfers and tax deposits.

10.       At the end of the calendar year, prepare and distribute W-2 and all other employee related year end payroll information.

11.       Maintain the following:
 • Timekeeping system and related reports.
 • Section 125 Plan.
 • Monthly payroll related journal entries.
 • Paid Time Off Reports.
 • Individual’s production records.
 • Reconcile monthly deduction reports & set-up bills for payment.

12.       Perform other duties as assigned.

Qualifications:

High School diploma or GED.

Minimum of two years experience in bookkeeping.

Ability to be insured as a vehicle driver by agency’s insurance program.

A valid driver’s license.

Good knowledge of basic English sufficient to read instructions, keep records and write reports.

Successful completion of background and reference check.

Successful completion of a drug screen.

Ability to perform the essential functions and activities of the job with or without reasonable accommodations.
